COMMUNITY INITIATIVES, CONVENING AND RESEARCH ADMINISTRATIVE ASSISTANT

JOB SUMMARY

Created from the merger of Peninsula Community Foundation and Community Foundation Silicon Valley, Silicon Valley Community Foundation brings together the complementary strengths of each parent foundation to create a greater impact than either could realize alone. The new community foundation is committed to serving as a center for philanthropy providing world-class services to donors and nonprofits and inspiring greater civic participation throughout the San Mateo and Santa Clara counties.

Reporting to the vice president of community initiatives, convening and research, this individual provides administrative support to the vice president and to the department. 

Salary range: $17.79 - $21.63 per hour commensurate with experience.

RESPONSIBILITIES

  • Work with staff across departments to accomplish the giving division’s goals and across divisions to accomplish community foundation priorities, goals and mission.
  • Expedite the flow of work through the vice president’s office.  Identify and initiate follow-up action.
  • Maintain calendar in Microsoft Outlook, schedule internal and external meetings, make travel arrangements and provide directions for conferences and other off-site meetings.
  • Handle routine correspondence, including memos, letters and e-mail messages.
  • Proofread, edit, and as required, prepare final drafts of various documents.
  • Coordinate meetings on behalf of department, including room scheduling and set-up, sending announcements, preparing agendas, handling catering or refreshment needs and clean-up.
  • Perform general office duties, such as ordering supplies, maintaining electronic and hard-copy files, cataloguing reference materials for library, and copying.
  • Maintain up-to-date contact information on all partners, consultants and vendors; coordinate mass mailings.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Must be a high school graduate with at least three to five years of administrative experience in the nonprofit sector.
  • Advanced proficiency in Microsoft Office applications: Word, Excel, Outlook and PowerPoint.
  • Excellent office management and administrative skills.
  • Ability to handle complex, concurrent administrative tasks and meet deadlines.
  • Ability to perform tasks independently with a high degree of accuracy.
  • Excellent interpersonal skills, characterized by an ability to work with diverse people and groups in a multi-cultural environment.
  • Ability to adapt to new and changing situations.
  • Ability to approach situations and challenges with a sense of humor.
