GRANTMAKING ADMINISTRATIVE ASSISTANT
(FULL TIME/NON-EXEMPT)

JOB SUMMARY

Created from the merger of Peninsula Community Foundation and Community Foundation Silicon Valley, Silicon Valley Community Foundation brings together the complementary strengths of each parent foundation to create a greater impact than either could realize alone. The new community foundation is committed to serving as a center for philanthropy providing world-class services to donors and nonprofits and inspiring greater civic participation throughout the San Mateo and Santa Clara counties.

Act as the assistant to the vice president of grantmaking. Provide administrative support to the vice president of grantmaking, and to the grantmaking department as required.

Salary range: $12.01 - $21.15 per hour commensurate with experience.

RESPONSIBILITIES

  • Organize and expedite the flow of work through the vice president of grantmaking’s office. Initiate follow-up action.
  • Support and assist in the organization and prioritization of department activities and responsibilities.
  • Prepare correspondence and email for the vice president of grantmaking, compiling needed information and developing appropriate formats as required.
  • Proofread, edit, and prepare final drafts of various documents generated by the vice president of grantmaking or others in the department.
  • Develop and prepare presentations, including necessary supporting documentation.
  • Assist the vice president of grantmaking in maintaining a tickler file on follow-up steps needed with grantees, community leaders, donors and others.
  • Sort and screen the vice president of grantmaking’s incoming mail. Handle routine correspondence and route mail to other staff as appropriate.
  • Maintain the vice president of grantmaking’s calendar and the department calendar and communicate schedules with other staff as needed.
  • Arrange appointments, meetings and travel for the vice president of grantmaking.
  • Organize and maintain the vice president of grantmaking’s files (paper and computer generated).
  • Assist in the coordination, set-up and clean-up for various meetings.
  • Assist the grantmaking associate as required and requested.
  • Assist donor engagement and the community initiatives, convening & research departments to accomplish the giving division’s goals, and across the community foundation to support community foundation goals, priorities and mission.
  • Other duties as assigned.

QUALIFICATIONS

  • 2 year/AA degree preferred or equivalent experience.
  • Proficiency in Microsoft Office Suite: Word and Excel required, Powerpoint knowledge a plus. Database experience helpful.
  • Excellent oral and written communication skills.
  • Attention to detail and superior organizational skills.
  • Excellent interpersonal skills, with an ability to work with diverse people and groups in multicultural environments.
  • Ability to adapt to new and changing situations.
  • Ability to approach situations and challenges with a sense of humor.
